This week’s Workday Adaptive Planning tip and trick pertains to importing and exporting override formulas. Override formulas are a useful tool for version-specific data manipulation. To use override formulas, navigate to modeling, then accounts. As seen in the screenshot below, there are three options within the data override drop down on the account detail menu.
The “None” option means there is no formula override. “Override Formula” allows the user to write a formula that will be used within the specified version for the chosen account. Lastly, “Data Entry” allows for manual data entry instead of a formula. All these options can either be selected manually within the account details or imported and exported in bulk. To import formulas, select the import or export buttons seen below.
For the import process, first, export your formula overrides or download template to begin organizing override formulas. In the following screen capture, version and account code are required columns; Override Formula and Override with Data entry are optional. Column F has been provided to show the results of the different optional choices. A formula in the Override The Override Formula section replaces the default formula currently in the system with an override formula. This field must be populated using Adaptive syntax. Entering a “Yes” in the Override with Data entry column will remove calculated data and allow for data entry. Entering “No” in the Override with Data entry column will revert all data back to the Override Formula if it exists. If it does not, the data will be replaced by the default formula. Finally, leaving all optional cells blank will replace any override with the default formula. The original account formula will still be available if the Override Formula is disabled.
In summary, override formulas allow for users to create version-specific changes to accounts. Users have the capability to create a new formula or make accounts data entry for a version.
